Students/Rosters Import Errors and Resolution Steps

Review errors and resolution steps for importing student rosters using the bulk import tool.

Student GUID/Class GUID

The referenced GUID does not exist in the system.

Verify that the GUID is properly formatted; it should be a total of 36 characters, including dashes.

To find the correct GUID, you will want to export a new copy of the student file and Class List file.

This GUID could not be found in your organization

Student GUID/Class GUID

The referenced GUID exists, but it is not associated with the district hierarchy you are associated with.

Please contact the PreK-12 Technical Support team to resolve this issue.

Student ID: Student GUID field contains GUID of disabled student

Student GUID

The Student GUID provided is in a disabled/deleted state in the system.

To find the correct Student GUID, you will want to export a new copy of the student file.

If you believe the Student GUID should be active and may have been disabled/deleted by mistake, please contact the PreK-12 Technical Support team to look into the issue further.

Student ID: ID is already in use

Student ID

The referenced Student ID is already in use by another user within the district hierarchy.

If the user you are entering on the file already has an account, make sure you are entering the Student ID they already have assigned to their account.

To find the correct Student ID, you will want to export a new copy of the student file.

If you are trying to create a new user account, make sure to enter a unique Student ID for the user; each user in the district needs to have a different and unique Student ID.

Student ID: Multiple records reference this Student ID, but the user information does not match

Student ID

There are multiple users listed in the file with the same Student ID, but the other columns do not match between the other user-related fields (First name, Last name, Student GUID, etc.).

If this error appears for different users, but they each have the same Student ID entered, change the Student ID column for all users with the error so that it matches what they currently have assigned to them in the system.

If they are a new user, enter a different and unique Student ID for each user.

If this error shows for the same user, use the Excel filters on the file to check for inconsistencies between the columns for the First and Last Name, Username, Password, Email, and Grade.

This user has a different role, and the role cannot be changed

Role

This error occurs when the user’s role on the import file does not match what is currently assigned to them in the system.

Ex: A student’s GUID was entered on the file, but the Role column shows as ‘teacher’.

Verify the entered user has the correct role assigned to them in the Role column.

If the user is assigned to the incorrect role in the system, this will need to be manually changed under Manage Users – this requires Admin access.

Email is already in use.

Username is already in use.

User information provided on file could not be used to create a user account.

The requested username or email address is not available.

Username: Field must be unique

Email/Username

The entered Email Address or Username is already assigned to another user in the system.

If an update of the user is being done, verify that the correct Student GUID is entered on the file. To find the correct Student GUID, you will want to export a new copy of the student file.

If a new user is being entered, make sure to enter a unique email address or username for the user; there cannot be more than one user account with the same email address or username in the system (this includes any user accounts outside of your district).

A different Master Code is already assigned to this class. To assign another product, please create a new class.

Class GUID/Class ID

The file is attempting to assign a product to an existing class that already has a product assigned to it.

The import does not support ‘swapping’ products for a class.

Two different primary products cannot be assigned to the same class; a new class will need to be created to assign the new product.

This class has a different teacher and the product only supports one teacher.

Class GUID

The file is attempting to roster a second teacher to an existing ConnectED class.

The import does not support multiple teachers to be assigned for ConnectED classes. Co-teachers will need to be manually added for ConnectED classes. This includes products such as Everyday Math, My Math, and Wonders, among others.

This Class GUID corresponds to an archived class

Class GUID

The entered Class GUID is in an archived state.

If the class is archived by mistake, the teacher assigned to the class will need to unarchive the class (this can only be done for Open Learning classes), or you will want to contact the PreK-12 Technical Support team to unarchive the class (this can be done for both Open Learning and ConnectED classes).

You can also remove the Class GUID and create a new class.

The class information is missing required field(s). To update an existing class, provide the Class GUID. To create a new class, provide a Master Code.

Class GUID/Master Code

The row is missing required data in the Class GUID or Master Code fields.

If you are updating an existing class, make sure to enter the Class GUID for the class.

If you are creating a new class, make sure to enter a Master Code for the class.

Multiple records reference this Class ID but the class information does not match

Class ID

Multiple rows have the same Class ID entered, but all the other class-related fields do not have matching information.

All rows that reference the entered Class ID must have the same information for the Class Name, Class Grade, Class Start Date, and Class End Date.

Use the Excel filters on the file to check for inconsistencies for the classes receiving this error.

Missing required field

Class ID/Class Start Date/Class End Date

The Class ID/Class Start Date/Class End Date column is blank.

If the class is new or existing, a Class ID/Class Start Date/Class End Date is required.

The Master Code for this class cannot be updated unless the Class GUID is provided.

Class GUID/Class ID

The row is missing the required Class GUID field.

If you are updating an existing class, make sure to enter the Class GUID and Class ID for the class. To find the correct Class GUID or Class ID, you will want to export a new copy of the Class List file.

If you are trying to change the product the class is assigned to, a new class will need to be created; the import does not support ‘swapping’ products for a class.

A class could not be created using this Master Code because there is no matching Teacher Edition available

Class ID

The Student Edition Master Code entered does not have an active Teacher Edition subscription available.

Verify that there is an active Teacher Edition that matches the entered Student Edition (including the copyright year) by viewing the product list in Manage Products. If you do not have access to this list, you will need to reach out to your Organization Admin.

If there is a matching Teacher Edition to go with the Student Edition being entered, and you are receiving this error, please contact the PreK-12 Technical Support team to look into the issue further.

Start date cannot be changed

Class Start Date

The entered Class GUID is for an existing class that has a start date that already passed, and the file is attempting to provide a different Class Start Date.

Once a class has started, the Class Start Date cannot be updated. A new class would need to be created.

Unsupported character or formatting – supported format is MM/DD/YYYY

Class Start Date/Class End Date

The class date field presents a date that is not in the MM/DD/YYYY or M/D/YY format.

The date formatting will need to be modified for the upload to process.

End date cannot be in the past

Class End Date

The provided Class End Date is a date that has already passed.

The Class End Date cannot be a date in the past and will need to be modified for the upload to process.

End date cannot be before start date

Class End Date

The provided Class End Date is a date that is before the provided Class Start Date.

The Class End Date will need to be modified to be a date after the Class Start Date.

This Master Code could not be assigned because it is invalid, expired, or belongs to a different organization

Master Code

The Master Code may have a typo, has expired, or belongs to another account.

Check the districts/schools Manage Products list to ensure you have the correct active Master Code on the file. If you do not have access to this list, you will need to reach out to your Organization Admin.

Class could not be created because this Master Code is an add-on product. In order to assign an add-on, an appropriate primary product must be assigned

Master Code

A secondary product (add-on) is being assigned to the class without first assigning the appropriate primary/core product.

Ex: A WonderWorks Master Code is assigned without the corresponding Wonders product also being assigned to the class.

To create and roster a class that uses both primary and add-on products, each user will need two lines on the file: one line referencing the primary Master Code, and a second line with the same user and class information with the add-on Master Code.

This Master Code is a Teacher Edition, and students must be assigned the Student Edition.

Master Code

The file is attempting to assign a Teacher Edition to a student.

If the user Role is set to ‘Student’, the Master Code needs to be for a Student Edition. Check the districts/schools Manage Products list to ensure you have the correct active Master Code on the file. If you do not have access to this list, you will need to reach out to your Organization Admin.

This product only supports one teacher per class.

Master Code

The file is attempting to create a ConnectED class with multiple teachers.

The import does not support multiple teachers to be assigned for ConnectED classes. Co-teachers will need to be manually added for ConnectED classes. This includes products such as Everyday Math, My Math, and Wonders, among others.

This Master Code is a Student Edition and there is no compatible Teacher Edition assigned to the class.

Master Code

The file is attempting to roster an existing class, but there is no Teacher Edition product assigned to the class.

If the Teacher Edition is assigned to the teacher already, this error is most likely due to the wrong Student Edition being added to the students.

Check the districts/schools Manage Products list to ensure you have the correct active Master Code on the file for the Student Edition. The copyright years must match between the Student and Teacher Editions. If you do not have access to this list, you will need to reach out to your Organization Admin.

If there is a matching Teacher Edition to go with the Student Edition being entered, and you are receiving this error, please contact the PreK-12 Technical Support team to look into the issue further.

This Master Code must be assigned with a resource ID.

Master Code

The Master Code is for a product such as Redbird or ALEKS that also requires a Resource Code to be assigned.

Check the districts/schools Manage Products list for the associated Resource Code. If the product has an associated Resource Code, it can be found by clicking on the Manage link and then on the Resource Codes tab beside for the product. If you do not have access to this list, you will need to reach out to your Organization Admin.

The required format is A1B2-C3D4-E5F6-G7H8:resourcecode

Teacher licensing failed for this class

Error

This error is shown for student rows when there is no Teacher Edition assigned to the teacher’s account.

Check the districts/schools Manage Products list to ensure you have the correct active Master Code on the file. If you do not have access to this list, you will need to reach out to your Organization Admin.

The template you used is no longer valid. Please download the new import template.

Error

The file that is being uploaded is an old import template.

Download a new blank template from the Import Students/Rosters page.

The submitted file is only compatible with the admin version.
